The position acts as a personal assistant and confidential Secretary to the President and takes responsibility for a range of administrative functions. The position is required to work with strict confidentiality, discretion and limited supervision.
Principal Accountabilities:
- Provide a high level of professional and confidential secretarial support to the president, including prioritizing and initiating action on all incoming correspondence; coordinating diary events and appointments; answering telephone calls and welcoming visitors; and managing follow-up action on redirected work.
- Coordinate the President s travel requirements by booking domestic and international travel including cars and accommodation, organizing / scheduling meetings as required
- Assist in preparation of correspondence and other written material by researching and gathering information and reference materials from various sources, and drafting reports as required by the president.
- Develop and maintain an effective information management system for the president that allows for effective retrieval of documents and resources.
- Coordinate the processing and reconciliation of the president s expense accounts, budgets and payments.
- Undertake the designated administrative duties such as booking of rooms / venues for meetings, arrange catering, etc.
Key relationships: The executive Assistant reports directly to the President, and as directed communicates with company executives, as well as executives of external German and other international organizations. Effective liaison and communication with other senior administrative and secretarial staff is required to enhance working relationships and work flow.
Competencies
- Extensive experience (3- 5 years) in a similar position(s) preferably in an international company) and demonstrated ability to provide professional secretarial support to senior management, including maintaining confidentiality, managing priorities, and meeting deadlines. - Previous experience working with or in political and social environments, the ability to understand, explain and work through complicated protocol requirements - Demonstrated professional qualities of integrity, reliability, confidentiality, initiative, sound judgment, problem solving and the ability to work proactively with limited supervision. - Demonstrate sound written, oral and interpersonal communication skills, including the ability to retain composure and flexibility under pressure, to facilitate effective working relationships and workflow. - Friendly, cooperative and willing approach to assisting others as needed, and in undertaking routine work as well as special assignments. - Demonstrated ability to analyze issues, determine priorities, establish a course of action and follow through to completion, including use of sound judgment and problem solving - Demonstrated competency in utilizing a number of appropriate software packages including Microsoft Office to enhance administrative support. - Willingness and ability to manage resources such as equipment, information databases and files, stationary, etc. - Ability to utilize financial systems to reconcile expenses, track expenditure and process accounts. - Fluency in German and English, both written and spoken.
Typical Education/Experience
Preference for Completed University Diploma or appropriate Certification (e.g. Kaufmannische Ausbildung)
