Responsibilities will include but not limited to the following: 
- Office organization and day-to-day administrative duties in support of the Directors' office and staff. 
- Scheduling meetings and work time on the executives calendar, accepting meeting notices as appropriate, scheduling travel time between meetings, and securing touch down offices at other sites; coordinates schedules and prioritizes. 
- Coordinates and processes travel arrangements and logistics, generates expense reports and assists in reconciling corporate credit card charges. 
- Maintain schedule and act as focal for the HR conference room, and share focal responsibility for other conference rooms in the area. 
- Processes incoming and outgoing communication and correspondence to ensure proper dissemination of information, may create, edit and maintain documents or delegate actions based on the subject matter and awareness of business priorities. 
- Tracks and maintains information relative to department and business operations (for example, out of office, meeting agendas, organization distribution lists). Compiles information on meeting topics and participants; distributes assignments based on commitments and deadlines and follows up as required; arranges business conferences and team meetings.

Plan and facilitate logistics and meeting administration for HR leadership team; assist in running weekly planning meetings to prepare for staff meetings and other organizational meetings and events; maintain meeting agenda. Facilitate computer &amp; presentations during meetings to include making edits. 
- Attend weekly staff meetings and bi-weekly office administrator meetings. 
- Provide back up assistance to the executive's staff analyst when needed. 
- Team with other office administrators in the Bellevue executive complex to provide back up coverage as needed, and share common tasks such as supply ordering. 
- Coordinate with office administrators in Chicago, Washington DC, Southern California, and other locations to ensure executives who are traveling between sites have onsite administrative support for helping with tasks such as last minute travel changes. 
- Provide back up executive office administrator support to the VP of EO&amp;T and Corporate HR.
